Privacy Policy

The short version
We collect only what we need to run FieldProof and keep your records. Your data is yours, only your operation's team can see it, and we never sell it. You can export or delete it any time.
1What we collect
- Account info — your email and role (owner, manager, or contractor).
- The records you create — application details, product, rate, acreage, target, notes, and any label photos or voice clips you add.
- Context captured at log time — device GPS and the property location, plus real-time weather.
- Basic usage data — to keep the service running and reliable.
2How we use it
To provide the service: store your immutable records, run compliance checks, generate audit exports, and support you. We also use aggregate, non-identifying usage to improve the product. That's it.
3We never sell your data
Full stop. We don't sell or rent your personal information or your operation's records to anyone.
4Who can see your records
Your records are scoped to your operation. Only members of your operation (your team and managers) can see them, enforced at the database level. The FieldProof team accesses your data only to operate the service or when you ask us for support.
5Service providers we use
We rely on a few trusted providers to run FieldProof. They process data only to provide their service to us:
- Supabase — database, authentication, and file storage.
- Vercel — application hosting.
- OpenAI — powers the label-photo reading, voice-to-log, and plain-English compliance explanations. Content you submit to those features is sent for processing and is not used to train their models.
- Open-Meteo — weather at the time of each application (location coordinates only).
6How we protect it
Data is encrypted in transit and at rest. Access is restricted by operation-level security rules, and submitted application records are immutable — they can't be quietly altered after the fact, which is what makes them trustworthy for an audit.
7How long we keep it
We keep your records while your account is active so they're there when you need them for an audit. If you delete your account, we remove your personal data, subject to any legal retention requirements.
8Your rights
You can access, export, or request deletion of your data at any time. Just ask and we'll help.
